Services

What does Habiteight's condominium management include?

We handle the day-to-day running of the condominium (correspondence, suppliers, repair requests and communication with owners), the accounts (condominium fees, monthly balance sheets, the annual statement of accounts and the common reserve fund), maintenance, preparing and calling owners' meetings, the insurance policy and the collection of overdue fees. Owners have access to a portal and an app to check the accounts, pay their fees and report faults.

How much does Habiteight charge to manage a condominium?

The price depends on the size and needs of the building, so we don't have a single price list. Ask us for a no-obligation quote: once we know your condominium, we prepare a detailed, transparent quote with no small print.

Which areas do you cover?

We manage condominiums in Portugal. Tell us where the building is when you request a quote and we'll let you know whether we can look after your condominium.

What does financial management include?

It includes issuing and keeping track of condominium fees, monthly balance sheets, the annual statement of accounts and managing the common reserve fund. Each owner can check their own account statement and the condominium's documents in the portal.

Do you organise the owners' meetings?

Yes. We prepare the paperwork, send out the notices of meeting, write the minutes and keep the resolutions in a digital archive. In the portal, owners can see the calendar of meetings and the notices of meeting.

Do you deal with the building's insurance?

Yes. We review the current cover, manage the condominium's insurance policy, handle its renewal and follow up on any claims.

How do you deal with overdue fees?

We send automatic payment reminders. If the fee is still unpaid, the process moves forward in stages: it starts amicably, always stays within the law and is transparent to the owners.

Switching management company

How do we change our condominium management company?

There are four steps. First, you get in touch and we arrange an assessment meeting, free of charge and with no obligation. Next, we prepare a detailed quote for your building. Then the quote is presented to the owners and approved at an owners' meeting. Finally, we take care of the handover: we collect the documents from the previous administrator, set up the platform and introduce the portal to the owners.

Who collects the documents from the previous administrator?

We take care of the whole transfer of documents and data from the previous administrator. We organise the paperwork, set up the condominium on our platform and hold a session to introduce the portal to the owners.

Is there a charge for the first meeting?

No. The assessment meeting is free of charge and with no obligation, and it can be held in person or online. It lets us look at how the building is currently being managed and what its most pressing needs are.

What's included in the quote?

The quote is based on our assessment of your condominium. It is detailed and transparent, with no small print, and it is presented to the owners for approval at an owners' meeting. The price depends on the size and needs of the building.

How do I request a quote?

Fill in the quote request form on our website with your building's details. We'll then contact you to arrange the assessment meeting. The quote comes with no obligation.

Fees and payments

How do I pay my condominium fee?

Log in to the portal, open Payments (Pagamentos) and choose the fee. You can pay by MB Way, confirming the payment in the app on your phone, or generate a Multibanco reference, payable at any ATM or through online banking.

How do I pay my fee with MB Way?

In the portal, choose the fee and the MB Way option. Enter the mobile number linked to your MB Way account and select Pay with MB Way (Pagar com MB Way). You'll receive a request on your phone: confirm it in the MB Way app and the payment is done.

How do I pay my fee with a Multibanco reference?

In the portal, choose the fee and the Multibanco option, then select Generate reference (Gerar Referência). You'll see the entity, the reference and the amount. Use these details to pay at any ATM or through online banking.

How do I know my payment has gone through?

Once the payment is confirmed, the fee shows as paid on your account statement in the portal, together with the date it was paid. If you've already paid and the fee still shows as unpaid, please get in touch.

Where can I see my balance and the fees I've already paid?

On the account statement in the portal (Conta Corrente). You'll see your unit's balance and the list of fees for each year, with the status of each one: paid, pending or overdue.

Accounts and common reserve fund

Can I see where my fee goes?

Yes. Financial management includes monthly balance sheets and the annual statement of accounts, and in the portal, under Documents (Documentos), you'll find the condominium's minutes, budgets, reports and contracts. That way you know where your fee goes.

Works and common areas

Does Habiteight oversee works in the building?

Yes. We coordinate suppliers and service providers and oversee works and services in the building. The estimates and the minutes recording the decisions are kept in the portal, under Documents (Documentos).

Repair requests and maintenance

How do I report a fault in the building?

Log in to the portal and open Repair requests (Ocorrências). Give the problem a title, add a description if it helps and choose the priority: low, normal, high or urgent. The Habiteight team receives the request and coordinates the repair with suppliers. If there is immediate danger, call 112 first.

How can I check on the progress of a repair?

Each repair request has a status you can see in the portal: open, in progress, resolved or closed. Once the repair is finished, the date it was resolved is shown as well. There's no need to phone and ask.

What does maintenance include?

We log and triage repair requests, coordinate repairs with suppliers, who work through their own portal linked to ours, and keep a full history of the work carried out in the building.

Insurance

Something has happened in the building that may be an insurance matter. What should I do?

If there is immediate danger, call 112 first. Then tell us what happened, ideally by submitting a repair request in the portal with a description of the problem. Following up on insurance claims is part of Habiteight's insurance service.

Portal and app

What can I do in the owners' portal?

The portal has five areas: Account statement (Conta Corrente), with your balance and fee history; Payments (Pagamentos), to pay by MB Way or Multibanco; Documents (Documentos), with minutes, budgets and contracts; Repair requests (Ocorrências), to report faults and make requests; and Meetings (Assembleias), with the calendar and the notices of meeting.

How do I log in to the portal?

Use the Sign in option at the top of the website and log in with the email address and password for your account. Owners' access is set up when Habiteight takes over the management of the building, and the portal is introduced to them in a dedicated session.

I've forgotten my password. What should I do?

On the sign-in page, use the password recovery option (Esqueceu a password?) and enter your email address. You'll receive a message with a link to set a new password. If the email doesn't arrive, please get in touch.

Can I use the portal on my phone?

Yes. On a phone, the portal has a menu at the bottom of the screen with the main areas: account (Conta), documents (Docs), payments (Pagar), repair requests (Avisos) and meetings (Reuniões). On a computer it has the same features.

Where can I find the condominium's minutes and budgets?

In the portal, under Documents (Documentos), you'll find your condominium's documents, such as minutes, budgets, reports and contracts. You can open or download them.

Where can I see the date of the next owners' meeting?

In the portal, under Meetings (Assembleias), you can see the calendar of your condominium's meetings and the notice for each one.

Privacy

What personal data do you process, and why?

We process your name, email address, phone number (optional), your login details for the platform, the financial data relating to your fees and technical browsing information. We use this data to provide the condominium management service, communicate with owners and administrators, process payments and meet our legal obligations. Full details are in our privacy policy.

How do I ask to see my data or have it deleted?

Write to us at privacidade@habiteight.pt. Under the GDPR, you can ask for access to your data, its rectification or erasure, restriction of processing and data portability, and you can object to its processing. You can also lodge a complaint with the Portuguese data protection authority (CNPD).

Does the website use tracking or advertising cookies?

No. We only use strictly necessary cookies, such as session cookies for signing in and keeping your account secure. We don't use tracking cookies or third-party advertising cookies.

Can other owners see my payments in the portal?

No. In the portal, each owner sees the account statement for their own unit and the condominium's shared information, such as documents and meetings. Other units' account statements are not shown.

Franchising

Can I open a Habiteight franchise in my area?

Our franchise programme is still being developed. Register your interest on our franchising page and we'll contact you when the programme becomes available, with no obligation.

Do I need experience in condominium management to become a franchisee?

No prior experience in condominium management is needed: Habiteight provides the initial training, the platform and ongoing support. The programme is still being developed.
